Development Coordinator

Reports to: Executive Vice President

Location: Washington, DC

Status: Full-Time Exempt

Salary Range: $55,000-$65,000 (salary commensurate with experience)

Join Halcyon as the Development Coordinator and provide critical support to our fundraising operations. This role will focus on managing and maintaining donor data, assisting with annual giving campaigns, and supporting the Development team with administrative and operational tasks that drive donor engagement and fundraising success.

As the Development Coordinator, you’ll play a key role in strengthening donor relationships through compelling grant applications, proposals, and reports, ensuring everything is accurately tracked in our online database so campaigns run smoothly and the team can reach ambitious fundraising goals.

What You’ll Be Doing:

Key responsibilities and daily tasks that will define your impact in this role

 

Database & Data Management: 

  • This role will be 80% focused on institutional giving/reporting/administrative and 20% focused on individuals.
  • Maintain Halcyon’s donor and prospect database (EveryAction), ensuring accuracy, consistency, and timely updates.
  • Generate internal dashboards and donor lists to support development strategy.
  • Assist in maintaining data integrity and implementing best practices for gift entry and donor record management.

 

Corporate, Foundation, and Individual Donor Prospecting:

  • Partner with Development leadership to build outreach lists for campaigns, event sponsorships, and programmatic funding opportunities using internal data and external sources (news alerts, Foundation Directory Online, corporate CSR pages, grants portals, LinkedIn, etc.).
  • Conduct profile research summarizing mission fit, past giving and estimated capacity, key relationships, and recommended next steps.
  • Qualify leads against Halcyon’s ideal funder profiles and program priorities, flagging high-potential prospects for cultivation.
  • Track and advance new leads through Moves Management: create records, assign stages, log touchpoints, and set next actions with clear owners and due dates.

 

Grant Proposals & Administration: 

  • Support preparation of fundraising materials including conducting prospect research and drafting grant proposals with the Senior Manager of Grants and Partnerships.
  • Support timely data tracking and reporting to funders in collaboration with Development and Programs teams for stewardship, grant reporting, and partnership development.

 

Administrative & Development: 

  • Provide day-to-day administrative support to the Development team, including scheduling, donor correspondence, and file management.
  • Assist with donor stewardship, including drafting thank-you letters and assembling recognition materials.
  • Help coordinate direct mail, digital, and stewardship efforts with Communications and Development staff.

 

Collaboration & Events: 

  • Partner with Events and Communications teams to ensure donor recognition at Halcyon events.
  • Provide logistical and administrative support for cultivation and stewardship events.
  • Prepare briefing memos for events to prepare Halcyon’s Leadership and Program teams.
  • Collaborate with colleagues across the organization to advance fundraising initiatives.

  • Education: Bachelor’s degree preferred.
  • Experience: 3+ years of experience in development, fundraising operations, or nonprofit administration preferred. Prior experience working with donor databases strongly desired.
  • Expertise: Strong organizational skills with attention to detail; comfort working with data and technology systems.
  • Skills: Excellent communication (written and verbal), strong multitasking abilities, and proficiency in Microsoft Office Suite.
  • Mindset: Proactive, detail-oriented, collaborative, and mission-driven, with a willingness to learn and grow within a dynamic nonprofit team.

  • 8-hour shift, standard working hours are 9:00 AM – 5:00 PM ET   Monday to Friday
  • Weekends and evenings as needed
  • Work Location: Hybrid in Washington, DC, with two days in the office and three days remote. Halcyon also offers two weeks of ‘Work from Anywhere’ time as an additional benefit.
  • Ability to lift and carry up to 25 pounds, comfortable with standing, climbing stairs, walking, and sitting as required by the role.
  • Up to 10% of travel domestically and internationally may be required.
